NearPoint for Microsoft Exchange : Email Management
Email is growing fast. Total users are increasing and total messages per
day are increasing, causing storage requirements to increase over 50% per
year. Email servers are a fixed size and when storage limits approach, performance
begins to decrease, backup times increase making it nearly impossible to
meet service level agreements. Users who face mailbox limits may delete
email and possibly destroy valuable records in the process or circumvent
quota limits by storing data in local PST files where data is easily lost
and is not accessible. For the IT budgets, the problems become worse with
time and the justification for additional hardware and storage becomes more
difficult.
Using Mimosa NearPoint, administrators can allow users infinite mailbox
capacity while maintaining mailbox quotas on Exchange Server. Mailbox Extension,
a standard feature of NearPoint, migrates weighty attachment files to NearPoint
allowing room for unlimited messages on Exchange. Administrators define
policies that automatically extend mailboxes on Exchange Server to the NearPoint
Server, and for messages to be migrated using parameters such as message
size and age and mailbox size watermarks. These policies allow Mimosa to
replace messages within those established criteria with a stub file that
points to the copy of the message residing on the NearPoint server. Using
Mailbox Extension, administrators can reduce the overall size of Exchange
storage by up to 90%. Messages that have been extended appear in user folders
as normal messages but with a new icon. Users have completely seamless access
to migrated messages. They double-click on an extended message header to
view the message. Operations such as forward, delete, reply, and move perform
as they would with local message copies. Mimosa provides transparent access
to migrated messages, while allowing corporations to control storage growth
on production Exchange Servers.
Managing existing PST data is a challenge for the number of PST files that
exist and the total amount of data they contain. Being located on local
desktops and network file servers makes them hard to access and manage.
The majority of desktops are not protected which creates the risk of losing
the valuable business information they contain. For managing PST data, the
