Without relying on journaling or MAPI, NearPoint maintains a complete up-to-date copy of all Exchange data – preserving the rich context of all users’ mailboxes and public folders. NearPoint’s unique One Pass Protection™ captures email data from production servers at the transaction log level -- with no impact on the Exchange Server. This contrasts sharply with other approaches that capture email at the SMTP or MAPI level or require use of Exchange Journaling – methods that impose a huge load on production servers and often require a re-architecture of the Exchange Server to support the additional storage and CPU demands. No other solution captures the richness of all email data like NearPoint -- messages, calendar items, tasks, and contacts. This is essential in the discovery and compliance arena.

Equally important is to create an archive that houses all email data – including existing PST files. NearPoint's .PST File Option allows you to import all PST files into the NearPoint archive, assuring that your vital corporate records are in one, fully indexed and searchable archive
Advanced Secure Search Capability
NearPoint's Continuous Application Shadowing provides full message fidelity at capture, so powerful search queries can be created to find all types of Exchange items, including messages, calendar entries, contacts, and notes. Using NearPoint's secure search functions, auditors can look for emails as well as other items including calendar events based on keywords within subject line, message body, and/or attachments. Searching the "From" and "To" fields as well as defining a time period for a search allows for further granularity of detail, increasing the efficiency of the discovery process and allowing the ability to recreate a point-in-time view of communications between individuals. NearPoint Advanced Search maintains a similar look and feel to the Outlook Search and Advanced Search capabilities minimizing the learning curve for the auditors.

Legal Discovery
The Mimosa NearPointT for MicrosoftŽ Exchange Server eDiscovery Option provides an easy-to-use and powerful application that individuals and workgroups can use to search and produce email and attachments contained in the Mimosa NearPoint archive. Auditors, paralegals, counsel, and compliance officers can quickly search through thousands of emails, review and export results for opposition or court-ready production. With eDiscovery, teams can work together to respond to a discovery request or complete an internal audit. Search criteria can be saved and shared among users, ensuring consistent and accurate results for frequently used search patterns. Messages can be placed on retention hold to prevent deletion and then shared with other auditors or legal staff to facilitate a review workflow. Upon completion, review results are exportable in OutlookŽ PST files suitable for external counsel review or court-ready production.

Compliance
Proper retention and disposition of email is critical when meeting internal corporate policy objectives or external regulations such as Sarbanes-Oxley Act, HIPAA, SEC Rule 17a-4, and Gramm-Leach-Bliley Act. Mimosa NearPoint provides a tamper resistant archive and an automated system that enforces retention of email by keeping track of email creation time and applying policies set by the administrator. At the expiration of the retention period email is permanently expunged from the NearPoint server. Retention policies can be set at the mailbox and folder level for all message classes such as messages, appointments, and contacts. In case of an investigation, a "suspend of disposition" can be placed on one or many mailboxes preventing items from being purged until the hold is removed. For compliance with SEC rules for immutable storage, Mimosa NearPoint's Compliance Storage Options supports write-once, read-many (WORM) storage devices such as EMCŽ Centera.
